Shared Workspace at a glance:


Shared Workspace is a suite of online tools that supports information sharing and working between government agencies and their partners outside government. It uses tools that people are familiar with and can be used from wherever you are located.





A common, secure platform to support these tools has been built and operated by the State Services Commission on behalf of agencies.

Shared Workspace will:

  • support interagency collaboration;
  • enable secure sharing of valuable information;
  • achieve better outcomes by allowing specialist groups and networks to share epertise, experience and good practice
  • provide valuable experience in using online collaboration tools.

It will not:

  • support groups working on non-government related issues;
  • support tools requiring large bandwidth, such as video conferencing;
  • provide all-of-government document management and archiving;
  • provide bespoke software solutions;
  • be a hard-wired private network for member agencies.

What are the differences between the tools?
The tools meet a number of needs and ways of collaborating online.

Our agency has or plans to have collaboration tools, can we still do that?
Yes. A number of agencies have the business requirement and capacity to run collaboration tools and are already doing so. Generally the tools are used to meet special demands in the agency, are managed on-site and have a fair degree of IT involvement. In contrast, Shared Workspace is an off-site resource, meeting cross-agency needs for a given period, and needing no ongoing IT staff involvement.

Will agencies need to install special software or maintain special servers?
No. The only requirement is a recent web browser (and Internet access).

How secure is Shared Workspace?
The Shared Workspace infrastructure and traffic to and from the Shared Workspace is mainly secured for information classified, up to and including, 'In Confidence'.

Why not just use email and SEEMail?
These tools do not meet collaborative working requirements. Most people find it difficult to cope with the volume and variety of email they get every day. Documents and discussion held in a dedicated workspace are more visible and stay in context. They are also kept separate from your day-to-day mail messages.
