6. Encoding schemes
John was seeking information on the status of a number of the NZGLS encoding schemes. NZGLSAgent and NZGLSAvailability have fairly formal documentation while NZGLSAudience and NZGLSDocumentType are less rigorously defined.
Sara does not think the information is needed before the launch of Metalogue2. There was discussion around the development of the audience list, as it is unclear who is best placed to do this work.
The use of Audience is not obvious in a Portal search as the current interface doesn't show in the result set.
It was suggested that the Thesaurus Advisory Group may be able to do some work on the value list. The Working Group considered that DocumentType (and ServiceType) should be further developed by the NZGLS Working Group.
It was noted that there are inconsistencies in the current scheme, as some values are classified by document role and some by document structure. There was also some discussion on the Type category list, which has only three values (Agency, Document, Service). Does it need to be formalised? The feeling was that it should be formalised, but it was not high priority.
Action: Neil is going to work on DocumentType and ServiceType with Archives New Zealand starting in June. Keitha offered to help.
Action: Beryl to offer the Thesaurus Advisory Group the chance to sort out the Audience encoding scheme
Action: Neil to work on formalising the Type category list as an encoding scheme
